Short answer: The WhatsApp Business app is free and fine for a few conversations a day handled on one phone. The WhatsApp Business API is for businesses that need instant automated replies, several team members on one number, messages to opted-in customers at scale, and a connection to their CRM or website. You don’t download the API; you access it through a platform such as Adwix Connect.
For most Indian businesses, WhatsApp is where the sale actually happens. The ad brings the enquiry, but the booking, the site visit or the order is closed in a chat. So the question isn’t whether to use WhatsApp. It’s whether the free app can keep up with how many people are messaging you.
What is the difference between the WhatsApp Business app and the API?
| WhatsApp Business app | WhatsApp Business API (via a platform) | |
|---|---|---|
| How you use it | An app on your phone, plus linked devices | A web dashboard, shared by your team |
| Auto-replies | Basic greeting and away messages | Full flows: qualifying questions, buttons, instant package details |
| Team access | Limited to a few linked devices | Many agents on one number, with chats assigned to people |
| Messaging many customers | Broadcast lists that only reach people who saved your number | Approved template messages to customers who opted in |
| Connections | None | Website forms, Meta lead ads, CRM, e-commerce, webhooks |
| Cost | Free | Platform fee plus Meta’s charges for template messages |
Six signs you have outgrown the free app
- Enquiries wait hours for a reply, especially at night and on weekends. Every hour of delay hands the customer to a competitor who answered first.
- Several people answer from one phone, and nobody knows who replied to whom.
- Leads from ads get lost between the form, the sheet and the chat.
- You send the same five messages all day: prices, itinerary, location, availability, payment details.
- Follow-ups depend on memory. If someone forgets, the lead goes cold.
- You can’t see numbers: how fast you reply, how many chats became bookings, which ad they came from.
If three or more of these sound familiar, the app is costing you customers.
What can you automate with the WhatsApp Business API?
- Instant replies the moment an enquiry arrives from an ad, form or website button, day or night.
- Qualifying questions with buttons: dates, number of people, budget range. Customers tap instead of typing.
- The right offer automatically: the package, brochure, floor plan or product that matches their answers.
- Follow-up sequences for people who go quiet, using approved templates: a useful nudge the same evening, something helpful on day two, a clear reason to decide on day four, and a polite close on day seven.
- Reminders and confirmations: call times, appointments, payment due dates, order and COD confirmations.
- Hand-off to a person once a lead is qualified, with the full chat history in a shared inbox.
How much does the WhatsApp Business API cost?
There are two parts to the cost:
- Meta’s charges. Meta bills business-initiated template messages by category (marketing, utility and authentication), with rates set per country. Always check Meta’s current WhatsApp pricing page for India, because rates and rules change.
- The platform fee. The software you use to access the API, build automations and manage chats. For Adwix Connect, plans depend on your volume and features; see the Adwix Connect plans.
To judge whether it pays, compare the cost against bookings, not messages. If faster replies turn even two extra enquiries a month into customers, most businesses cover the cost several times over. Our guide on cost per lead vs cost per booking shows how to measure that properly.
Rules to know before you switch
- The 24-hour window: you can reply freely within 24 hours of the customer’s last message. After that, you need an approved template to start the conversation again. Here is how to create WhatsApp templates that get approved.
- Opt-in is required: only message people who agreed to hear from you. Messaging bought lists gets numbers reported and restricted.
- Quality matters: Meta tracks how customers react. Useful, expected messages keep your number healthy.
- Use the official route: unofficial “bulk WhatsApp” tools and modified apps risk your number being banned. The API through an approved platform is the safe way. Read more on Meta’s WhatsApp Business Platform page.
How Adwix Connect sets it up
Adwix Connect is the WhatsApp Business API platform we built for our own clients’ campaigns. A typical setup looks like this:
- Connect your number to the official WhatsApp Business API.
- Link your lead sources: Meta lead ads, click-to-WhatsApp ads and website forms.
- Build the reply flow: greeting, qualifying buttons, the right offer, and hand-off to your team.
- Get templates approved for follow-ups, reminders and offers.
- Connect your pipeline so every chat has a stage. For travel businesses, that’s a travel CRM like Adwix Atlas.
- Review the numbers weekly: reply time, qualified chats, calls booked and bookings.
If you also run ads, pair this with a sensible budget. Our guide to how much Meta ads cost in India shows real cost per lead from our campaigns.
Frequently asked questions
Can I use the same number on the WhatsApp Business app and the API?
A number is registered to one or the other. Moving a number to the API means it’s managed through the platform instead of the phone app, so plan the switch and keep your chat history needs in mind.
Do I need a green tick to use the API?
No. The API works without a verified badge. Verification is a separate process and isn’t required to start sending messages.
Is the WhatsApp Business API free?
Access comes through a platform, which charges a fee, and Meta charges for business-initiated template messages. The WhatsApp Business app is the free option.
How long does setup take?
A basic setup with instant replies and a qualifying flow can usually go live within days once the number and business details are verified. Template approval often takes minutes to hours.
